Writing the CV for the customer service representative role
Start your CV with the channels you handled and the type of customers. Then put the CRM system you used. The first lines then show which channels you managed and which systems you worked with.
In this role you answer contacts quickly and clearly by telephone, chat and email. The CRM system, the number of contacts per day and the languages are points you can name concretely. Put them at the top, so the scale of your work is visible.
What you do in this role
A customer service representative takes calls and messages, looks up customer details, and answers or solves the problem. Complaints are recorded in the CRM system and, where needed, passed on to another department. Agreements with the customer are confirmed in writing.
Keep the CV to one or two pages.
How your CV matches the advert
Read the advert and note the channels, the CRM system and the languages the company names. Say in your CV which of those points you already have, and name the type of customers you worked with. A team leader can then see quickly whether your experience fits the company’s customer needs.
Customer service is about listening, solving and recording. Describe in your CV one difficult conversation: what the customer asked, how you handled the conversation and how it ended. That shows how you deal with anger, and it is easier to discuss than the word patient.
Check the names of systems and the languages you speak. Read your CV aloud and cut general phrases. A short CV with the channels, the system and one clear situation is stronger than a long list of qualities.
A customer wants more than an answer; they want assurance that something will happen. Describe in your CV how you gave that assurance, for example with an email confirmation or a scheduled callback. That shows how you bring the customer along in the process.
Recording in the CRM system makes colleagues’ work easier. Describe in your CV how you recorded contacts, so that a colleague could take over a case. That shows you think about the long term.
A customer sometimes has several contacts about the same problem, and customer service has to recognise that. Describe in your CV how you found earlier contacts in the system and how you built on them. That shows you see the customer as a whole, not only the single contact of today.
